Commercial Loan Documentation Specialist

The primary function of the Loan Documentation Specialist is to ensure that all loan documentation for both Consumer and Commercial loans is complete, accurate, verified, and meets individual loan specifications so as to ensure the bank’s legal standing to collect the loan does not deteriorate over the life of the loan. The Loan Documentation Specialist corrects data errors and obtains missing information when necessary. He or she prepares loan reports, prepares loan documents by inputting proper loan information into the documentation system. A Loan Documentation Specialist communicates with Relationship Managers, Branch Managers and third-party services and represents the bank professionally while meeting the service standards of Middletown Valley Bank.

Responsibilities

Primary Responsibilities and Duties – Commercial Loan Documentation

• Monitor and pull loan requests from Loan Docs Inbox to start loan process
• Review loan approval and email request to make sure all necessary information is provided to start documentation process
• Order required third party items-Property and judgement report, Title Insurance, Flood Certification, Tax Service Contract
• Create loan documents in Laser Pro for a variety of commercial loan types
• Obtain payoff figures for required conditions included in the Loan Approval
• Manage workflow to ensure all loan closings are handled in a timely manner and ensure all loans are properly documented and closed according to policies and procedures
• Coordinated scheduling of loan closing with Relationship Managers
• Review all executed loan documents for appropriate signatures and notarized where required
• Prepare and send collateral documents with the appropriate fees to be recorded in order to perfect the banks lien position
• Complete document quality reviews for documents prepared by other Loan Documentation Specialists.
• Organize loan files in a specific order to be moved to booking
• Maintain all department procedures using the detailed COPE functions
• Sustain organizational and department COPE functions preparedness related to contingency processing including the design and documentation of periodic testing at the alternate site
• Ensure proper communication with immediate Supervisor and various departments to handle the processing of loans
• Ability to adjust priorities to changing circumstances and maintain quality in fast paced atmosphere
• Keep informed of new compliance and regulatory issues as they occur and participate in loan compliance initiatives
• Perform any additional duties/activities assigned by management

Qualifications and Requirements

Knowledge, Skills and Abilities

• Requires 2 to 5 years of intense experience in documenting BOTH Consumer and Commercial loans.
• High School Degree is the minimum education requirement however previous experience in the field or a two-year associate degree in fields such as business administration or accounting is preferred.
• Strong PC skills; fast and accurate data entry and typing skills.
• Able to work in a team-oriented environment and can work well with team members.
• Outstanding phone etiquette as well as customer service skills to handle different types of customers.
• Strong written, verbal and interpersonal communication skills are critical.
• Must be analytical, detail oriented and organized.
• Good at managing time and self-directed.
• Comprehensive knowledge of the financial services industry, banking regulations and compliance requirements.
• Adaptable in an ever-changing technological and regulatory environment.

Physical Requirements

• Manual dexterity for the functional operation of standard office equipment, i.e. computers, calculators, scanners, and copier.
• Ability to see, speak and hear.
• Ability to sit for long periods of time in front of a computer.
• Mobility sufficient to perform activities required of position, including traveling to attorney’s offices.
• Ability to lift up to 20 pounds.
